Reservation Flow on the Customer Screen

We will guide you through the reservation flow on the customer screen.

Reservation Process

On the reservation screen, enter the check-in and check-out dates, number of guests, and number of rooms.


If child settings are enabled, a field to select the number of children will appear.
You can select up to 15 children per room.

If no child settings are configured, only the total number of guests can be selected.

If children are selected, multiple room bookings are only available for the same room type and same plan.

When you click the [Search] button, the plan selection screen as shown in the image below will be displayed.

① Changing the date will refresh the search results screen.

② You can change the number of guests, as well as the number of adults and children.

③ You can search only for day-use plans.

④ You can search even if your dates are not yet decided.

⑤ Only plans that are available based on the selected date and number of guests will be displayed.
 ※This option is checked by default.

⑥ You can sort the results by lowest price, highest price, or recommended order.

⑦ You can filter by room type (e.g., single/double), smoking/non-smoking, and with/without breakfast.

⑧ You can switch between searching by room or by plan.

If rooms are linked to plans, the plan details will show information such as room types and price comparisons between OTAs and your own website.

For customers shown with a promotion label, hovering the cursor over the label will display a popup.

The popup shows the target audience, discount amount, valid period, and disclaimers (e.g., if the dates fall outside the promotion period).

Alert
If the search conditions include children, the Best Rate price will not be displayed.

When you click [Reserve], the screen will switch to the Customer Information Entry page.

On the left side of the screen, fields for name, email address, and phone number will be displayed.

※If additional questions are configured, they will be displayed here.
※If optional sales are set up, they will be displayed at the top.

On the right side of the screen, you will see the total amount, including discounts from coupon codes and point usage.。


About Points

If you would like to use your points toward the room charge, please enter the amount here.

Promotion

If there are any notifications from the property, they will be displayed near the middle of the screen.

After filling in the required information, select the payment method, check the acceptance of the usage policy, and click 「Next」 to proceed.



All credit card prepayments are processed as immediate payments.

Since PayPal does not support transactions exceeding 1,000,000 yen at once,
if the payment amount exceeds 1,000,000 yen, selecting VISA or Mastercard will result in an error message.

Due to the implementation of GMO’s 3D Secure feature, users will be redirected to a screen like the one below for all card brands: VISA, Mastercard, JCB, and AMEX.

Once the reservation is complete, a screen like the one below will be displayed.

※If additional questions are configured on the reservation completion screen, they will be displayed under 「Reservation Management」 on the right side.


Reservation Confirmation Email

Under normal settings, an email like the one below will be sent.

Custom Email Template

For Properties with an Active Reservation Change Policy

Customers can modify their reservations from the reservation confirmation screen.
This screen can also be accessed via the link sent in the reservation confirmation email.

Customers can change their reservations themselves from the reservation confirmation screen, which can be accessed through the URL included in the reservation confirmation email.

Please note that changes cannot be made once check-in is completed.

When you click Change Reservation, a screen like the one below will be displayed.
Please select the desired date and number of guests to modify.



When you select a date or number of guests, the screen will display similarly to the regular reservation page, but a [Cancel Reservation Change] button will appear at the top right.
You can cancel the reservation change process by clicking this button.

When changes are made, the updated dates, number of guests, and total accommodation amount will be displayed on the right side of the customer information entry screen.

※Please note that the payment method cannot be changed.

The reservation number remains the same, and the reservation can be modified.
However, changes cannot be made after the change deadline.
If the customer wishes to change the dates after the deadline, they will need to make a new reservation.

In the case of shortening the stay or reducing the number of rooms, the original reservation rate will apply. For other types of changes, the rate at the time of modification will apply.

A Reservation Change email will be sent to the customer.

If the setting to allow shortening the stay or reducing the number of rooms is enabled, a screen like the one below will be displayed.

You can shorten your stay or reduce the number of rooms by selecting the desired changes for each item.

The link to the reservation confirmation page is included in the reservation confirmation email sent after completing a booking.

※You can search and book across all properties within the same hotel brand.


During Maintenance

When the system is under maintenance, the service will be temporarily suspended.
The default search bar will not be displayed, and new bookings, changes, or cancellations will not be possible.

During maintenance, a screen like the one below will be displayed.

If Payment Fails

If the payment fails, the following message will be displayed on the reservation screen.
In this case, the process will stop at the payment step, and the reservation will not be completed.
